Volunteer for the Summer Youth Track Series
Help us host a great community event for 300 local kids this June.
Help Make Summer Track Happen
The Columbia Track Club Summer Youth Series is a grassroots, community-run event, and we need your help to make it a success. We are looking for friendly faces to help keep the kids organized, safe, and smiling.
Whether you are helping line kids up at the start, handing out participation ribbons, or raking the long jump pit, you are making this event possible for 300 local kids. You do not need any prior track and field experience to help out. We will show you exactly what to do!
The Schedule
When: Four Wednesdays in June (June 3, 10, 17, 24).
Time:
5:15 PM — General Volunteers & Registration Crew: Your main workforce arrives. This gives them exactly 15 minutes to check in, grab their shirts, hear a quick set of instructions, and be fully manning the registration tables by the time the gates open at 5:30 PM.
***4:30 PM — The Setup & Teardown Crew: They arrive early to pop the tents, unfold the tables, and set up the finish chute so the venue is physically ready.
Where: Rock Bridge High School Track.
What You Get: A free CTC volunteer shirt, snacks and water during the meet, and a great evening with the community.
Volunteer Kickoff Dinner: All volunteers are invited to a free kickoff dinner a week before we kick off the series (details to come). We will eat pizza, walk through how the meets run, and get everyone comfortable with their areas before Week 1.
Where You Can Help
This year, we have simplified how the meet runs. Athletes have pre-printed bibs and results are digital, meaning there is very little paperwork for our volunteers. You can choose where you'd like to help:
-
Arrive early (4:30 PM) to help pop up tents and set out cones, or stay a few minutes late to help pack the equipment bins.
-
Welcome families at the main gate, mark names off the roster, and hand out pre-printed bibs and safety pins.
-
Help get the kids lined up in their lanes and ready to run.
-
Keep kids in order as they cross the finish line and direct them to the results table.
-
Hand out 1st-6th place and rainbow participation ribbons to the kids after they race.
-
Help gather the age groups in the center of the field and walk them to their events.
-
Help measure jumps, roll shot puts back, and record marks.
-
Sit at the timing tent and help type the finish times into our live laptop system.
-
Help capture the memories by taking photos or videos during the meet.
-
The Medical & Safety zone serves as the meet’s primary health and risk management hub. It is responsible for athlete safety, injury response, and venue-wide monitoring throughout the event.
-
The Logistics Coordinator is responsible for ensuring all equipment, materials, and supplies are present, organized, and deployed correctly before, during, and after the meet.
This role is the operational backbone of the event setup, making sure every station has what it needs to function without interruption.
